This guide is aimed to help users setup and connect their Outlook email client to work with their Hostek hosted email account(s).

Setting up Outlook
Open the Outlook email client. Then click on the File menu option.
Select the option for Account Settings, then choose Account Settings from the drop-down.
You should see a list of all e-mail users you have setup already in Outlook. Click on the New... button to add a new account. If you are wanting to update an existing account select the user and choose Change... instead.
Note: If you are only changing an existing user skip to step 6.
If creating a new user select Manual Setup or Additional Setup Types, then click Next.
Choose the option for either POP or IMAP. If you are unsure of the difference we recommend choosing IMAP.
Enter the user information in the provided fields, including the full email address and the display name you want to use for the user.
Full email address format example: [email protected]
In the server information fields choose your account type again (POP or IMAP). Again, if you are unsure of the difference we recommend IMAP.
Enter in your mail servers full host name in the Server Host name fields. If you have 'mail.yourdomain.com' pointing to the mail server you can use this.
- If you are on one of our shared environments, then you can use the mail server hostname provided within your account welcome email. This host name will also be available for the use of SSL (secure) email connection.
Next enter the full email address again in the User Name field and then the correct password for this user in the Password field.
Now click on the More Settings... button to go into the advanced settings (important).
In the tab Outgoing Server make sure the options for 'My outgoing server (SMTP requires authentication' is checked.
Also make sure the setting for 'Use same settings as my incoming mail server' is checked.
Note: If these settings are disabled your email client will fail SMTP authentication and be unable to send email on behalf of the user.
In the Advanced tab you will need to set the ports for incoming and outgoing to be equivalent to your desired connection type (secure or insecure).
In order for the connection to be secure you must have a valid SSL certificate on the mail server for the host name you are connecting with. As mentioned earlier our shared mail servers already have the shared host name covered with SSL.
Port Settings (if using IMAP and SSL):
- Incoming Server Port: 993
- Outgoing Server Port: 465
- SSL: Yes, enable the SSL via drop-down.
Port Settings (if using POP and SSL):
- Incoming Server Port: 995
- Outgoing Server Port: 465
- SSL: Yes, enable the SSL via drop-down.
Port Settings (if using IMAP and insecure):
- Incoming Server Port: 143
- Outgoing Server Port: 587
- SSL: No, set this to None.
Port Settings (if using POP and insecure):
- Incoming Server Port: 110
- Outgoing Server Port: 587
- SSL: No, set this to None.
Once you have the above settings in place click the OK button to save your changes.
If everything looks correct click the Next button. This should fire off a test that will check if the outgoing (SMTP) server succeeds and the incoming server connection works as expected.
If either of the test fails you should be provided a message stating information on why the test failed before allowing the new account to be created.
If the test both succeed, then your email should now be connected with Outlook.
